  1. Accountability and Transparency:
    This notice formally reiterates that all parties are expected to maintain the highest standards of accountability, transparency, and procedural integrity throughout the handling of Coates v. Cox Communications (EEOC Charge No. 12K-2025-00001). All actions, communications, and filings must be preserved in full and made available for independent review.
  2. Mirroring and Oversight:
    Effective immediately, a full and contemporaneous mirror of the case file-including all evidence, correspondence, and procedural records-will be provided to the following oversight and enforcement agencies:
    • U.S. Department of Labor, Wage and Hour Division (whdcomplaints@dol.gov, whd.dc@dol.gov)
    • U.S. Department of Justice, Civil Rights Division (crt@usdoj.gov)
    • Virginia Office of the State Inspector General (osig@osig.virginia.gov)
    • Office of the Governor of Virginia (commonwealth@governor.virginia.gov)
    This is to ensure independent record preservation, facilitate accountability, and enable cross-agency review as appropriate.
  3. Procedural Safeguards:
    The EEOC, Cox Communications, and all related parties are instructed to preserve the integrity of the record and to acknowledge that all filings and communications will be mirrored to the above agencies for the duration of this matter. No action should be taken to close, alter, or prejudice the case while outstanding procedural, evidentiary, or appeal issues remain unresolved.
  4. Outstanding Requests:
    I am still awaiting responses to several procedural questions and requests for acknowledgment, including but not limited to:
    1. Confirmation of the open status and preservation of the record.
    2. Acknowledgment of the mirror filing and oversight contacts.
    3. Clarification regarding the process for supplementing evidence and ensuring all addenda are incorporated into the official file.
  5. Expectation of Accountability:
    All parties are hereby placed on notice that accountability for the handling of this matter will be enforced through cross-agency oversight, and that procedural or substantive deficiencies will be documented and escalated as necessary.
Disclosure and Agency Notification:
All parties are hereby notified that the handling of this matter-including, but not limited to, responses to requests for affidavits, subpoenas, and other official inquiries-will be subject to ongoing oversight and potential disclosure to external agencies. Specifically:
